Our new Listing & Client Care Specialist will help us expand our client family through outstanding customer service, relationship building, and process improvement.

This is a full-time role aimed at creating and maintaining a loyal client base for our business. These clients will receive so much care and attention that they can’t help but refer their friends and family to our team.

What You Will Do

  • Deliver a concierge-level client experience that exceeds expectations.
  • Represent our culture in interactions with clients, team members, and vendors.
  • Advocate on behalf of our clients.
  • Update and maintain listing prospects.
  • Provide reassurance to nervous sellers by proactively communicating the process and feedback.
  • Manage over 125 listings annually while maintaining excellent client care.
  • Pay meticulous attention to detail to ensure reliability for our sellers.
  • Plan and execute successful Virtual Open Houses for Team listings.
  • Work quickly and efficiently, coordinating between vendors, sellers, team members, and others to ensure a smooth listing process.
  • Oversee all details of bringing a property to market, including coordinating with photographers/videographers, photographing properties, MLS input, and creating marketing materials.
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support.
  • Maintain an operations manual that documents all systems and standards.
  • Work with Team Leadership to uphold accountability standards.
  • Track and review team goals weekly.
  • Attend trainings as needed.
  • Create and maintain office and filing systems.
  • Manage website domains and ensure they are forwarded properly.
  • Master the systems and websites used in tracking our clients and contracts.
  • Train and manage all employees and listing agents in conjunction with Team Leadership on Team and Market Center procedures.
  • Act as a gatekeeper for Team Listing Agents by writing thank you cards and calling any referring agents within 24 hours of receiving the lead.
  • Organize client events and manage referral gifts.
  • Conduct weekly coaching meetings with listing agents.
  • Be the first point of contact in handling customer inquiries or complaints.
  • Prospect for new clients and manage lead capture.
  • Supervise and manage marketing efforts for our listings.
  • Order and deliver signs and lockboxes.
  • Assist in data entry of listing details, analysis, and client care.
  • Research the market to provide accurate CMAs, net sheets, etc.
  • Field offers and inquiries on our properties.
  • Provide weekly consultation communication with our selling clients.
  • Oversee and manage home transformations.

Experience & Skills You Need

  • Incredibly service-oriented attitude and readiness to say “YES, I’D LOVE TO! HOW CAN I HELP?”
  • Must be a team player.
  • High level of social skills; our business is people-centric and requires extensive interaction.
  • Creativity and the ability to enhance systems and processes.
  • Confidence in guiding clients through the process and tactfully offering suggestions.
  • Background and current license in real estate preferred, or willingness to get licensed.
  • Must be assertive and passionate.
  • Proficiency in Google Workspace, Microsoft Word, Excel, and Website Applications. Experience with Mac/Apple, Adobe, PrimeMLS, and KW Command is preferred.
  • Excellent communication skills: verbal, visual, and written.
  • Strong planning and organizational skills, process management, and a self-starter mentality.
  • Ability to multitask in a fast-paced, dynamic environment.
  • Positive attitude and professional demeanor.
  • Willingness to learn, grow, and adapt.
  • Strong work ethic and timely with very flexible work hours.
  • Attention to detail and accuracy.
